Clarify what is included
Discuss food, staffing, equipment, delivery, setup and cleanup separately. Record requirements in plain language. Ask the customer to flag dietary needs so you can assess them accurately.
Review before quoting
Check capacity and costs before committing to a price. Identify assumptions and anything still waiting for confirmation. Make sure the quote explains the scope and what happens if the customer changes it.
Keep the conversation together
Keep a clear record of the agreed details and any later changes. Confirm how the customer should accept the proposal and which payment terms apply. Do not treat an informal message as proof that every detail has been agreed.
