Handle agreements, deposits and booking changes

Review the agreement

Check the customer, service, date, location, inclusions and price. Make sure the customer can see the relevant business terms before agreeing. A draft quote, an accepted agreement and a paid deposit describe different events.

Track the deposit

Identify which payment system handles the deposit and match its reference to the booking. Check the recorded payment state rather than relying on a message saying the customer tried to pay. Do not assume payment alone resolves scheduling or approval requirements.

Assess a change

Compare the requested change with the existing agreement. Review any effect on capacity, staffing, supplies and payment before confirming. Keep a record of the revised scope and which version the customer accepted.

Resolve cancellations carefully

Follow the applicable agreement and supported cancellation process. Check the payment system separately for any refund or remaining balance. If the outcome is unclear, pause duplicate actions and ask for help with the booking and payment references. This guide does not determine the legal terms of your customer agreement.
